Galaxkey automatically identifies passive files based on configurable policies such as size, type, location, category, or business rules. Files can be moved into Standard, Cold, or Ultra Cold archive tiers depending on how often they are needed, helping organisations reduce storage costs without manual intervention.

Archived files remain visible to users through lightweight shortcuts in their original location. When a user clicks the shortcut, the Galaxkey Archive Viewer opens in the browser, allowing them to view, download, or restore the file with full metadata and version history intact.
